Guide for publishing PDFs on libs.morainepark.edu

  1. Open your Windows file manager and navigate to the shared drive (Y:). You should see a folder called “libs.mp.edu”.
  2. In “libs.mp.edu” there is a subfolder called “docs”. In this folder you’ll see subfolders for all the college systems. We recommend creating a folder for the files you want to publish under your college system folder. Alternatively, if the PDF you would like to publish is relevant to all systems, create a folder under “college-wide”. If there is already a folder with an appropriate name, go ahead and use that. For instance, if you want to publish documents related to diversity, put them in Y:\\libs.mp.edu\docs\student-affairs\diversity.
  3. Any file you add to libs.mp.edu should follow the file and folder naming convention, which you can find here: https://www.morainepark.edu/help/file-and-folder-naming-convention-for-the-web/.
  4. Any file you want to share publicly will need to be accessible. Moraine Park holds training sessions on accessibility every semester, and there is a group of trained staff that can help with updating source Word documents to meet accessibility standards. PDFs that meet the accessibility standards should have the suffix “-accessible” added to the filename. For instance, “your-file-name-accessible.pdf”
  5. Once you have added a file to the appropriate folder, you may wonder what the web URL is. To make it a little easier to figure that out, there is a simple tool you can use located at https://libs.morainepark.edu/. It will provide you with the absolute URL if you enter the file path. For example, if you put your file in the “student-affairs\diversity” folder you’d enter “student-affairs\diversity\your-file-name.pdf” and the tool would provide the URL https://libs.morainepark.edu/docs/student-affairs/diversity/your-file-name.pdf
  6. Test the URL to make sure it loads ok.
  7. Share the URL with whomever requested it. If it is a .edu content publisher, they will use the URL to create hyperlinks in the HTML content.
  8. If the URL will be used for Marketing advertising materials, you may want to consider requesting a “friendly URL”. The friendly URL will be shorter than the URL you get from the above mentioned tool. Note that a “friendly URL” is simply another term for a URL redirect, and they will have the format https://morainepark.edu/your-choice. Please submit a Marketing or ASKIT request to have a redirect created, and remember to provide your choice for URL (“your-choice”) and the target URL the redirect should go to (“https://libs.morainepark.edu/docs/xxx/yyy/zzz.pdf”).
